Buildings and Grounds Committee Meeting
Tuesday, July 14, 2009



Committee Members in Attendance: Mark Borrin, Michael Lancor, John Pendexter and Kay Peranelli

The meeting began at 7:30 a.m. in the SAU Conference Room.  

Kay Peranelli reviewed the planned Buildings and Grounds projects for 2009-2010.  The review included projects to be completed using the $100,000 allocated in the 2009-2010 general fund budget and the $81,928 encumbered from the 2008-2009 fund equity.

Bids for installation of a new gymnasium floor and bleachers at Moultonborough Academy were opened at Noon on Monday, July 13, 2009.  Committee members reviewed the three bid amounts submitted by LaPlante Builders, Conneston Construction, Inc. and O’Sullivan Flooring.  Discussion took place regarding whether to refurbish or replace the existing bleachers.  Consensus was reached to purchase new bleachers.  

Mark Borrin made a motion, seconded by Mike Lancor, to accept the low alternate bid of $146,840 submitted by O’Sullivan Flooring.  The motion was approved unanimously by the four Buildings and Grounds Committee members present.  

The School Board will need to provide public notice of and conduct a special hearing before authorizing expenditure of $92,072 for the project from the District’s School Building Trust Fund.  The School Board is the agent to expend from this fund, but must first conduct a public hearing.  Mr. Lancor recommends the hearing be held at 7:00 p.m. on Tuesday, August 11, 2009 prior to the regularly scheduled School Board Meeting.  

Harry Blood explained that Dion’s Plant Place is not able to complete the tilling of the soccer field within the athletic track as proposed.  The proposed equipment is unable to till the topsoil in a manner that allows the tilled soil to be mixed with new loam to properly level the field.  Dion’s Plant Place recommends removal of the existing 2” of turf and reloaming the field.

Consensus was reached to develop new specifications for this work and to solicit bids since this process will most likely cost more than $10,000.  Mike Lancor, Kay Peranelli and Harry Blood will develop specifications and place appropriate ads to solicit bids.

Mark Borrin made a motion, seconded by Mike Lancor, to adjourn at 8:22 a.m.  The motion was approved unanimously.
